A defined path for critical originals

Mail and checks receive their own custody path.

They are identified as critical originals and follow the return instructions established for your account. Scan N More’s role is secure receipt, authorized digitization, protection, and return—not depositing, negotiating, or endorsing client checks.

Your written service plan controls the path.

Pickup source, authorized recipients, scanning rules, return timing, and exceptions can be confirmed before launch.

Authorized pickup or receipt

Mail is picked up by a Scan N More driver, retrieved as agreed, or delivered to the processing location according to the service plan.

Sort by written instruction

Incoming items are separated according to your instructions so authorized mail moves forward and irrelevant mail is handled as agreed.

Identify critical originals

Checks, legal documents, and other designated originals are placed on a return path rather than treated as ordinary paper mail.

Digitize and deliver securely

Authorized items are scanned and delivered through the route identified for your account.

Return physical items

Checks and designated originals are returned to your office during the next scheduled daily pickup unless your written plan specifies otherwise.

Know the process before you hand over the records.

The strongest security conversation happens before the first pickup. These are the questions we expect careful clients to ask.

What happens when a check arrives in our mail?

Checks are treated as critical originals. Scan N More identifies them during authorized sorting, digitizes them only when your instructions allow it, and returns physical items to your office during the next scheduled daily pickup unless your written service plan requires a different path. Scan N More does not deposit, negotiate, or endorse client checks.

Can sensitive records stay at our location?

Yes. On-site scanning is available when documents are too sensitive, fragile, valuable, or operationally important to transport. Scan N More brings equipment and trained operators to your facility so the records can remain under your oversight.

Who can handle our documents?

Scan N More publishes that employees are screened, receive role-appropriate training, and sign confidentiality agreements. Exact staffing, access expectations, and client-specific restrictions can be addressed during project planning.

How are completed digital files delivered?

Delivery is matched to the project. Published options include secure download links and approved physical media such as an external drive. Confirm the delivery method, recipients, and file organization before production begins.

Are confidentiality agreements or BAAs available?

Scan N More offers confidentiality agreements for protected projects. For applicable medical-record engagements, the workflow can include a Business Associate Agreement aligned with the client’s HIPAA and HITECH responsibilities.

What happens to originals after scanning?

Originals can be returned, retained for an agreed review period, or destroyed when authorized. Applicable scanning workflows include a 30-day review period before scheduled destruction, and certificates of destruction are available after qualifying services.
